Price per pallet or per order is the easiest number to compare between 3PL proposals — and often the least predictive of whether the relationship will actually work. Here’s what tends to matter more once the contract is signed.
Process Maturity, Not Just Capacity
A 3PL can have plenty of warehouse space and still run inconsistent processes. Ask to see (or independently inspect) their SOPs, KPI reporting and how they handle exceptions — not just their floor plan.
System Compatibility
How well does their WMS integrate with your systems, and what does that integration actually look like in daily operation — real-time or batch, manual reconciliation or automated? Integration gaps are where a lot of "3PL problems" quietly start.
Compliance & Safety Track Record
Statutory compliance, safety records and housekeeping standards are a strong proxy for how disciplined the rest of their operation is. A 3PL that’s loose on safety is rarely tight on inventory accuracy.
Transparency Under Pressure
Every 3PL relationship hits a bad week eventually — a system outage, a peak-season overload, a staffing gap. What matters is whether they surface problems early and with data, or you find out from a customer complaint first.
Independent Verification
Reference checks from existing clients help, but an independent third-party inspection of the actual facility, processes and compliance — not just a sales walkthrough — gives you an unbiased view before you commit.
In Short
The cheapest quote and the right partner are sometimes the same 3PL — but you won’t know that from the rate card alone. A structured evaluation, backed by an independent inspection where the relationship matters enough, is usually worth the extra week it takes.
